AI Won’t Fix a Broken Agency Process

Before you automate something, make sure it actually works.

There is always another piece of technology promising to transform your agency.

A new CRM.

A new automation tool.

A new AI platform.

The demo looks great, the agency buys it, and everyone expects things to become easier.

Then it does not work.

Sometimes the technology is not the problem.

The process underneath it is.

Automation Can Make a Bad Process Worse

Imagine your agency does not have a consistent process for handling new leads.

One person puts them in the CRM.

Another keeps information in email.

One producer follows up immediately.

Another waits two days.

Now add AI.

You have not solved the problem.

You have automated inconsistency.

That is why the first question should not always be:

What AI tool should we buy?

A better question is:

What problem are we trying to solve?

Look for Repetitive Work

Start with the work your team does over and over again.

Routine emails.

Follow ups.

Documentation.

Information organization.

Repeated administrative tasks.

Pick one process.

Understand how it works today.

Fix the parts that are unclear.

Then determine whether AI can make it faster or easier.

Someone on Your Team May Already Have the Answer

Agency owners do not have to become the AI expert.

Someone on the team may already enjoy experimenting with these tools.

Give that person an opportunity to help.

Ask your employees where they waste time.

Ask what tasks feel unnecessarily repetitive.

Ask what they wish could be easier.

Your best AI opportunity may come from the person doing the work every day.

Move Forward, But Do It Carefully

Insurance agencies also handle sensitive information.

That means AI tools should not be connected to email, client data, or agency systems without understanding what information they can access.

Moving carefully does not mean falling behind.

It means using the technology intentionally.

Start with the process.

Then choose the tool.
